Grant Utilisation and Reporting System

Important: NGOGrant.in does not award or guarantee grants. Free information and official links are always free. Any fees are only for documentation / proposal preparation help — never for “sanctioning” a grant. Beware anyone who takes money to guarantee funding.

Funders often require more than a single utilisation certificate. This grant reporting pack helps NGO programme and finance teams keep the sanction or agreement conditions, spending evidence, advances, activities, results and report preparation connected.

Editable digital document pack

Prepare grant utilisation evidence, financial and programme reports, advance registers and closeout reviews in one workflow. Includes 6 DOCX, 1 XLSX and 3 PDF resources.

Digital files for one organisation. Review the contents, previews and licence below.

Who this digital pack is for

NGO accountants, finance officers, grant managers and programme coordinators who need traceable records during a funded project.

When this pack is useful

Use this pack to prepare a reporting file throughout a project. The modules connect agreement conditions, financial evidence, delivery records, reporting and closeout. Keep the actual sanction or agreement beside the templates so the team can see which information and approvals the funder requires.

Exactly what is included

6 editable DOCX resources, 1 XLSX workbook and 3 supporting PDF documents, plus support and metadata files.

Six editable Word modules:

Word module Examples inside the real file
Grant Setup and Conditions Identify the controlling grant framework; Extract award conditions into actions
Financial Evidence and Advances Record a grant instalment; Review a grant expenditure voucher
Delivery and Results Evidence Record a completed project activity; Verify participation counts
Progress and Financial Report Grant report cover and control sheet; Write the executive progress summary
Utilisation Review and Closeout Confirm the utilisation reporting format; Prepare the GFR 12-A working file where applicable
Illustrative Grant Reconciliation Example grant conditions and opening position; Example receipts and direct expenditure

The included workbook

Grant-Utilisation-Control-v1.0.0.xlsx contains 8 sheets: Setup, Receipts, Expenses, Advances, Returns, Budget, Dashboard, Instructions.

Read the Instructions sheet before entering data. Use the prepared input areas, keep a clean original and check results against your supporting records. Recheck any formulas and prepared ranges after changing or extending the workbook. This is an independent file, not a connected software service.

Guidance, licence and supporting records

The three PDFs are 00-START-HERE.pdf, LICENSE.pdf and Source-and-Applicability-Notes.pdf. README and version, resource-index, validation and manifest records are also supplied. These support files are not additional editable templates.

Preview the included files

These previews come from the included version 1.0.0 files. Select an image to view it at full size. They show template layouts, not completed records.

How your NGO can use the pack

  1. Read the signed agreement, sanction order and reporting schedule; record its conditions.
  2. Track receipts, payments, advances and documentary evidence against the funded activities.
  3. Prepare output and results evidence that can be checked against genuine programme records.
  4. Reconcile the records, prepare the specified progress and financial report, and route any certification to the appropriate professional.

Illustrative office-use scenario

Example only, not a claimed customer project or field result: Before a quarterly donor report, compare expenditure totals with payment documents and programme outputs, record outstanding advances and flag unsupported claims for correction.

Frequently asked questions

Can one utilisation certificate format cover every grant?

No. Use the form and certification process specified in the actual sanction, scheme or funding agreement. The pack supports preparation of the underlying records.

Does the pack provide an audit or signed utilisation certificate?

No. It supports record organisation and report preparation. Audit work, certification and sign-off are separate.

Do spreadsheets automatically connect to other NGO systems?

No. The workbook is independent; cross-system reconciliation is manual.

Some government grants are paid only as reimbursement against invoices and a CA-certified utilisation certificate, for example the MIB community radio grant. Keeping these records in order from day one helps.

Important scope and limitations

Use the actual funder-prescribed format and period. Do not invent expenses, beneficiary counts or result evidence; do not imply certification or guaranteed grant acceptance.

Editing, delivery and licence

A non-exclusive, perpetual licence permits editing and use of the supplied version within one organisation. Its employees, governing-body members and appointed advisers may use working copies for that organisation. You may submit genuine completed outputs to donors, banks, regulators and auditors. Raw-template resale or public redistribution of the source pack is not permitted. Consultants serving multiple organisations need a licence for each client or a separately agreed licence.

Use compatible DOCX/XLSX software and check layout after editing. Keep illustrative training data separate from real records. Future updates, filing, certification and professional services are included only if expressly offered; none is promised here. This is a digital file collection, with no printed book.

Review the included resources and licence before adding this digital pack to your cart. No physical item is shipped.
